How do you run a first tax season without a receptionist?

You cover the front desk with automation instead of a hire: missed-call text back answers the calls you cannot take, a client portal takes the documents, and automated reminders handle the follow-up. The preparer prepares. The system handles the interruptions that would otherwise stop the work.

What actually interrupts a solo preparer

It is not the returns. It is the phone ringing with "did you get my W-2," the text with a photo of a 1099, the client who wants to know if it is done yet, and the new lead who calls once and never calls back. Each one is small. Together they are why a solo preparer finishes fewer returns than the hours suggest.

The four covers, in the order to install them

  1. Missed call text back. Every unanswered call gets a text within seconds with a link to book or upload. The lead is held, not lost.
  2. Client portal. Documents go to one place, and the "did you get it" calls stop because the client can see it was received.
  3. Automated reminders. Missing documents and upcoming appointments get nudged by the system, not by you at 9pm.
  4. Status visibility. The client sees their stage in the portal. The "is it done yet" call goes away.

When a human still needs to answer

Anything that involves a tax question, a fee, or an upset client. The system's job is to hold the routine so the human moment gets your full attention. The AI assistant inside the AI360 CPA portal answers approved routine questions and escalates everything else to you.

Will clients be annoyed by automated texts?

Not when the text is useful. A confirmation, a reminder with a link, or an immediate reply to a missed call reads as a firm that has it together. What annoys clients is silence.

Should I just hire a part-time receptionist for the season?

Some offices do, and seasonal help is hard to find and train in January. Automation covers the routine load year one and gives you a clean picture of whether a hire is needed in year two. See hiring admin staff vs automation.
