A new tax preparer needs five systems the tax software does not include: a client document portal, a missing-document checklist with reminders, a way to catch missed calls, appointment booking with reminders, and a pipeline that shows each return's status. Without them, the preparer becomes the receptionist, the file clerk, and the follow-up desk on top of preparing returns.
The five systems, and what happens without each
| System | What it does | Without it |
|---|---|---|
| Client portal | One secure place per client to upload documents | W-2s arrive by text, email, and photo at 11pm |
| Checklist + reminders | Tracks what is received, nudges for what is missing | You chase every missing 1099 by hand |
| Missed call text back | Texts the caller when you cannot pick up | The lead calls the next preparer on the list |
| Booking + reminders | Clients pick a slot, get confirmed and reminded | Phone tag, no-shows, double bookings |
| Return pipeline | Every return in a visible stage | A spreadsheet you forget to update |
Why the software vendors do not mention this
Tax software companies sell the return engine. Some bundle a basic portal. Almost none handle the follow-up, the missed calls, or the pipeline, because those are operations problems, not tax-form problems. So the guides on starting a tax business stop at PTIN, EFIN, EIN, software, and a bank account, and leave the rest to you.
Buy them separately or as one managed setup
You can assemble these from separate tools: a portal here, a scheduler there, a phone app, a spreadsheet. It works if you enjoy configuring software in January. The alternative is one managed setup where all five are installed, connected, and branded to your firm before the season starts. AI360 CPA's new tax office setup is the managed version.
Is a free scheduler and a shared Google Drive enough for year one?
It can be for a handful of clients. The break point is usually between 30 and 60 clients, when the chase for missing documents and the status questions outgrow one person's memory.
Should a new preparer get a business phone line?
Yes, and it should do something when you cannot answer. A line that only rings is a line that loses leads. Missed call text back is the minimum.
